PCI Compliance: What Restaurant Owners Need to Know

As a restaurant owner, you wear many hats—managing operations, ensuring customer satisfaction, and maintaining profitability. One critical aspect that often gets overlooked is PCI compliance, a set of security standards designed to protect customer payment data. As your trusted point-of-sale provider, we’re here to break down what PCI compliance means for your business and how you can stay compliant.

What Is PCI Compliance?

The Payment Card Industry Data Security Standard (PCI DSS) is a set of security measures established by major credit card companies to safeguard cardholder information. Any business that processes, stores, or transmits credit card data must comply with these standards. Failure to do so can result in fines, increased transaction fees, or even the loss of your ability to process payments.

Why Is PCI Compliance Important?

  • Protects Customer Data – Compliance helps prevent data breaches that could expose your customers’ credit card information.

  • Reduces Liability – If a breach occurs and you’re found non-compliant, your business may face significant financial penalties.

  • Avoids Costly Fees – Non-compliance can lead to hefty fines and damage your reputation.

How Can You Stay PCI Compliant?

  1. Regularly Update Software – Always install updates and patches for your Aloha system to prevent vulnerabilities.

  2. Limit Data Storage – Never store sensitive customer credit card information unless necessary.

  3. Implement Strong Password Policies – Use unique, complex passwords and change them regularly.

  4. Train Your Staff – Educate employees about security best practices and how to recognize phishing attempts.

  5. Conduct Regular Security Audits – Work with your POS provider to perform security scans and vulnerability assessments.

January 2025 Newsletter

Welcome to 2025! Let's Set Your Team Up for Success

As we dive into 2025, we know that many restaurants are onboarding new staff, refreshing their training, or preparing for an exciting year ahead. To help you kick things off smoothly, we’ve gathered some valuable resources and tools designed to make managing your point-of-sale system and staff a breeze.

How to Reset Aloha Manager Password

Step 1: Login to Aloha Manager with another account that is NOT locked out.

Step 2: Navigate to Maintenance > Labor > Users. If Users does not appear on the menu, then the account that is logged in may not have access to this feature in which case you will need to contact tech support.

Step 3: Select the User you wish to reset the password for from the dropdown labeled “Users”

Step 4: Click the Reset Password button and enter a simple temporary password that the user will log in with. Ex: 1111 or 1234

Step 5: Logout of the current user and log back into Aloha Manager with the locked-out account using the Temporary password. It will ask for a new Complex password to be created for that account, once entered the user has access to their account.

Requesting Trinity Technologies to reset password can result in a program fee.

Auto Settlement Manual Review

Auto settlement is a convenient feature that allows the system to automatically submit a batch for credit card processing at a set time, streamlining the payment process for businesses. While auto settlement can save time, Trinity Technologies recommends regular manual reviews to ensure that transactions are processed accurately and on time.

Please refer to the following instructions to easily check EDC for transaction logs.
